Revenue Cycle Management

We take ownership of the entire revenue cycle, from eligibility through to final payment, and run it daily inside your own software. You keep visibility. We take the work.

  • Daily A/R review, denials worked while they’re still winnable
  • Full takeover inside 90 days of the kickoff call

Pain points

Most practices don’t have a billing problem. They have a follow-up problem.

Claims go out. Then nobody watches what comes back. Here’s what that usually looks like by the time a practice calls us.

Insurance A/R keeps aging

Balances roll past 90 and 120 days because nobody is working the queue daily. By the time anyone looks, the appeal window has closed.

Denials aren’t being worked

Rejections get filed instead of fixed. The same avoidable denial reason repeats month after month because nobody is tracking the pattern back to its source.

You can’t get a straight answer

You ask where a claim stands and get a report instead of an answer. No named contact, no visibility, no sense that anyone is accountable for the number.

What’s included

Everything from eligibility to final payment.

01

Eligibility & benefits verification

Coverage checked before the visit, so you’re not discovering a termination after the service is rendered.

03

Daily electronic claim submission

Claims go out every business day, not batched weekly or held to month-end.

05

Daily A/R review

Aging worked every day. Nothing quietly rolls into a bucket that stops getting looked at.

07

Patient balance support

Statements, patient questions and, where needed, our liaison team on the call with their insurer.

02

Charge entry & coding review

Charges entered daily and coded accurately by Certified Medical Reimbursement Specialists.

04

Payment posting & reconciliation

ERAs and EOBs posted promptly and reconciled, so your ledger reflects reality.

06

Denial management & appeals

Every denial worked to resolution, with root causes tracked back and fixed upstream.

08

Reporting & a named team

Open reporting on collections, aging and denial trends, plus people you can call by name.

Billed daily. A/R worked daily.

Problems surface in days, while they are still fixable.

How it works

Fully executed RCM takeover in 90 days.

We move at the pace that protects your cash flow, not the pace that rushes setup and creates problems later.

1

Discovery & Assessment

We review your EHR, analyze your current A/R, and identify gaps in your billing workflow and credentialing. You get a clear picture of where your revenue cycle stands before anything is signed.

2

Contract & Compliance

We execute the billing services agreement and HIPAA Business Associate Agreement, establish system access, and define roles and responsibilities on both sides. Everything is documented before billing begins.

3

Data & System Setup

We configure access to your EHR, clearinghouse and payer portals, set up ERA and EFT processes, and verify claim submission settings. The billing environment is tested and ready before we go live.

4

Credentialing & Payer Setup

We verify provider enrollment status, confirm NPI and TIN information, and identify any payer gaps before a single claim goes out. This step is skipped only when all providers are already fully enrolled.

5

Coding & Workflow Setup

We map your full billing workflow and correct any process gaps feeding bad data into the cycle. Your team gets clarity on what changes and what stays the same.

6

Historical A/R Transition

We review your existing A/R by age bucket, identify what is recoverable, and assign clear ownership of legacy balances. Nothing falls through the cracks during the handoff.

The outcome

What changes once we’re running it.

Faster

Cash flow, because claims go out daily and denials get worked before the window closes.

Stronger

Revenue cycle, with root-cause fixes upstream instead of the same denial repeating each month.

Simpler

Process your staff can actually run, giving you the stability to plan and grow.

Less

Stress, a hands-on team customized to your practice, not a ticket queue.

“Her expertise in medical coding, insurance claims processing, and revenue cycle management has significantly improved our collections and reduced denials.”

Questions

Before you ask.

Do we have to change our practice management software?

No. We work inside whatever system you already use — Tebra, Epic, TherapyNotes, CollaborateMD and many more. No migration, no second license to buy, and no new workflow for your front desk to learn.

How quickly can you take over?

A fully executed RCM takeover happens within 90 days of the kickoff call. We can move faster on some pieces, but rushing the setup phase is where billing errors get built in and cost you money later.

What happens to our existing aged A/R?

We review it during discovery and walk you through exactly what is recoverable and what isn’t. Legacy A/R work is scoped clearly so you know what’s being pursued and on what terms.

Will we have a specific person to contact?

Yes. You get a named team that knows your practice and your payers, and you can reach them directly. Most practices come to us because they couldn’t get anyone on the phone.

How is this priced?

Pricing is scoped to your practice after the discovery review, based on volume, specialty, and which parts of the cycle we’re taking on. We walk you through it in detail before anything is signed, no surprise line items.
